Share a doc with a mailing list
You can share a doc with members of a mailing list in two ways.
Set the doc to 'Anyone with the link' and email the link
The easiest way to give a large group access to a doc (to edit, comment, or view -- your choice) is to set the doc's visibility option to Anyone with the link and then email a link to the doc to the mailing list. Docs in this category will be accessible by anyone who ends up with the link, so sharing in this way isn't best if the contents of the doc are private.
If you want to take access away from people who have the URL to your doc, you can restrict access to a doc set to Anyone with the link. If you do that, people won't be able to use the old link to access the doc anymore, unless they have been explicitly added as a viewer or editor.
Share with a mailing list
Another way to share with a group is to give access to the entire mailing list. This is the best way to share with a big group if your doc is Private.
Open the doc or file that you'd like to share.
Click Share to open the Sharing settings window.
Click the white box under 'Add names.'
Type the email address of the group you'd like to invite.
Next to the email address, choose from the drop-down whether members of that group 'Can view,' 'Can comment,' or 'Can edit.'
Can edit
Click Share & save.
If you're sharing with a Google Group, access will be granted to the members of that group automatically. As people are removed from or added to the group, access to the doc is adjusted accordingly.
If you share with a mailing list that isn't a Google Group, group members will gain access to the doc by clicking the link in the invitation email. Access to the document won't be adjusted as group membership is adjusted. The doc owner can remove individual editors, commenters, or viewers from the doc at any time.
